PropNexus ("we," "us," or "our") is operated by Bravexa Software. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application and related services (collectively, the "Service"). By using PropNexus, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

Account Information: When you create an account, we collect your name, email address, and password. Passwords are securely hashed and never stored in plain text.

Property & Operational Data: Information you enter about your properties, units, assets, repairs, contractors, warranties, service plans, maintenance tasks, and related records. This is the core data you manage within PropNexus.

Documents & Files: Receipts, invoices, quotes, photos, and other documents you upload. These are stored securely in our cloud infrastructure.

AI Processing Data: When you use our AI features to extract data from documents or natural language input, the content is processed by our AI provider (Anthropic) to generate structured suggestions. We do not use your data to train AI models.

Usage Data: We may collect information about how you access and use the Service, including your browser type, device information, IP address, and pages visited.

3. How We Use Your Information

We use the information we collect to: provide, maintain, and improve the Service; process your property operations data and generate insights; send notifications and alerts you have opted into (maintenance reminders, warranty expirations, predictive alerts); respond to your support requests; process payments and manage your subscription; comply with legal obligations; and detect and prevent fraud or abuse.

4. Data Storage & Security

Your data is stored on Supabase (powered by PostgreSQL) with row-level security policies ensuring you can only access your own data. Documents are stored in encrypted cloud storage buckets. All data transmission is encrypted via HTTPS/TLS. We implement industry-standard security measures, but no method of electronic storage is 100% secure. We cannot guarantee absolute security.

5. Data Sharing & Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

Service Providers: We use third-party services to operate PropNexus, including Supabase (database and authentication), Vercel (hosting), Anthropic (AI processing), and Resend (email delivery). These providers access your data only as necessary to perform their services and are bound by their own privacy policies.

Legal Requirements: We may disclose your information if required to do so by law, regulation, or legal process, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

Business Transfers: If Bravexa Software is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

6. AI Processing

PropNexus uses AI (powered by Anthropic's Claude) to extract structured data from uploaded documents and natural language input. Your document content is sent to the AI provider for processing and is not retained by the AI provider after processing is complete. We do not use your data to train or improve AI models. AI-generated suggestions are always presented for your review before any records are created.

7. Cookies & Tracking

PropNexus uses essential cookies for authentication and session management. We do not use advertising cookies or third-party tracking pixels. We do not serve ads within PropNexus or allow advertisers to target you based on your usage.

8. Data Retention

We retain your data for as long as your account is active or as needed to provide you the Service. If you delete your account, all of your data — including properties, assets, repairs, documents, contractors, warranties, service plans, maintenance tasks, notifications, and uploaded files — is permanently and irreversibly deleted from our systems.

9. Your Rights

You have the right to: access all data stored in your account at any time; export your data in standard formats (Excel, CSV) from the Settings page; correct or update your information through the application; delete your account and all associated data permanently from the Settings page; opt out of email notifications at any time through your notification preferences. 10. Children's Privacy

PropNexus is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child, we will take steps to delete that information promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
